Permit Coordinator

We are looking for a Permit Coordinator to join our team!

Working with the Supervisor, Technical Services, within the Airport Planning & Engineering Department, the Permit Coordinator is responsible for the administration of the Facility Alteration Permit (FAP) process. This includes achieving timely and thorough processing of FAPs, clear and concise communication with internal/external parties and the management of all associated documentation. The Permit Coordinator has strong cross functional linkages with all Edmonton Airports business units.

You might be wondering what you can expect during a typical day at work. Every day will bring new opportunities, focusing on key responsibilities, including:

• Reviewing intake of applications ensuring forms are complete and required documentation has been provided.
• Distributing applications and supporting documentation to review teams based on permitting risk assessment.
• Acting as first point of contact to applicants and municipalities regarding application submissions.
• Addressing permitting comments as they arise, including follow up to ensure concerns are appropriately addressed by the right people in a timely manner, so all concerns are dealt with before applications are approved.
• Monitoring of FAP projects to ensure required inspections as identified by permit approvals are received in a timely manner.
• Troubleshooting issues applicants have when completing the electronic submission process or when stakeholders have issues retrieving documents on the Technical Services systems. Systems are InfoPath, SharePoint, as well as various document management software.
• Clear communication of permitting requirements to applicants.
• Tracking of permit documentation from start to finish of the construction process as identified in the FAP approval.
• Organizing documentation in a way that meets department standards and is easily retrievable and traceable using the department’s current document management tools.
• Monitoring of the Notice of Impairment (NOI) Sharepoint site and provide weekly reporting to internal teams.
• Processing of submitted locate tickets issued by contractors and identification of associated FAP/Project.

Special Requirements

• Completion of 1-2 years of post-secondary education in construction, engineering technology, or trades (equivalent experience may be considered).
• 2+ years of related experience.
• Knowledge of engineering practices, terminology and professional membership responsibilities.
• Advanced skills with Microsoft Office Suite of software including SharePoint, Excel, PowerPoint, Word, OneDrive, InfoPath.
• Demonstrated ability to read and understand architectural and engineering design drawings and reports.
• Excellent interpersonal skills and the ability to build and maintain strong relationships with all stakeholders (internal and external).
• Understanding of project phases and the impact that construction, asbuilt drawings and specifications have on facility record drawings.
• The ability to learn and adapt to new technology.
• Exceptional communication skills, both verbal and written, as this position must be able to explain complex technical issues to stakeholders.
• Excellent customer service skills while managing the needs of the business.
• Exceptional organizational and time management skills.
• Experience with construction drawings and specifications.
• An understanding of construction administration.
• Experience with the Alberta Building Code and Municipal Land Use Bylaws
• The ability to prioritize appropriately in a fast-paced environment with many competing demands, many that have business deal implications.
• Ability to secure and maintain appropriate airport security clearance and acceptable criminal records check.
